We are currently seeking a part-time AP & AR Administrative Assistant to join our Finance and Accounting team as a crucial link in the food supply chain.

The AP & AR Administrative Assistant will be a part of the AP & AR Team that manages and maintains all items related to Accounts Payable and Accounts Receivable including Vendor/Shipper Invoice payments, Product, Inventory Control procedures, Invoices & Billing. They will work with the entire Accounting department to ensure that AP & AR administrative tasks are being completed and will assist with administrative data and paperwork processing to support the department.

ABOUT THE JOB

This is a part-time position. The starting pay for this position is $17/hour, potentially higher with additional related experience.

The initial schedule will be approximately 20-30 hours per week, broken into 4 to 6 hours per day in the office.

  • Provide support to the Controller and AP & AR Supervisor.
  • Responsible for document management within the accounting department. This could include scanning all tickets, Bills of Lading, and Manifest, logging Conditions, and filing.
  • Print and sort invoices for payment for the AP team. Stuff envelopes and send any check payments via mail.
  • Entering Operation & Maintenance Invoices into the Financial Management System for payment.
  • Assist with Customer Account Collection calls to customers with outstanding invoices.
  • Assist with Month-End Close task items.
  • Maintain and update department Excel logs as needed.
  • Assist with providing 1 hour Lunch relief for the Cashier on a rotating schedule.
  • Provide backup as necessary to members of the AP & AR team.
  • Performs other related duties as assigned or as necessary. Remains flexible and adaptable in work schedules and work assignments as defined by departmental and organizational needs.ย

SKILLS & ABILITIES

  • Knowledge and use of standard office equipment and procedures necessary
  • Knowledge and use of computer and Microsoft applications required.
  • Strong interpersonal skills and ability to work well on a team
  • Self-starter with the ability to work with minimal supervision
  • Excellent communication skills
  • Strong basic math skills

QUALIFICATIONS

  • High School Diploma or equivalent is required
  • 1 year of experience in an office setting is preferred. Previous experience in either administrative or accounting support is helpful.ย
