Position Summary
As a Commercial Roofing Service Coordinator, you’ll ensure our service operations run smoothly by scheduling technicians, managing work orders, handling documentation, and supporting client communication. You’ll work closely with our Service Manager, technicians, vendors, and clients to keep jobs on track and deliver a seamless experience.
This is a fast-paced, office-based role where accuracy, organization, and clear communication are key. You’ll manage systems like Centerpoint Connect and client portals, ensure records and documents are complete, and help keep billing and compliance on point.

• Every service call is scheduled efficiently, with no missed or delayed work orders, keeping technicians productive and clients satisfied.
• Client communication is proactive and timely — customers feel informed, supported, and confident in our service.
• All documentation — permits, warranties, COIs, safety records — is accurate, complete, and submitted on time, preventing compliance issues or project delays.
• Billing is accurate and prompt, with no unbilled work slipping through the cracks. Job costing is reliable, supporting sound financial tracking.
• Centerpoint Connect and client portals are managed with precision — profiles are complete, work orders are updated, and service records are easily accessible.
• Your Service Manager and technicians feel supported and trust that nothing will fall through the cracks on your watch.
• You stay calm, focused, and solutions-oriented, even when juggling multiple urgent requests or shifting priorities.
Key Responsibilities
Scheduling & Work Order Management:
• Schedule service technicians efficiently, ensuring zero missed service calls and optimal use of resources.
• Monitor daily work orders and technician time in/out to track productivity and job progress.
• Coordinate annual inspections, warranty inspections, and equipment rentals as needed.
• Communicate with customers, production teams, service managers, and field technicians to ensure smooth scheduling and execution.
Client Communication & Service Requests:
• Serve as the primary point of contact for client service requests through email, client portals (e.g., Service Channel, NetVendor, VendorCafé, Corrigo), and Centerpoint Connect.
• Monitor and respond promptly to incoming service, bid, and inspection requests.
• Build and maintain detailed client profiles in Centerpoint Connect, ensuring all required documents are up-to-date.
• Follow up on open work orders that haven’t been approved to ensure timely resolution.
Documentation, Compliance & Safety:
• Manage and maintain safety documentation, ensuring compliance with company and industry standards.
• Keep safety equipment records current and accurate.
• Submit and manage city permits and warranty documentation as required.
• Prepare and send pre-construction documents and Certificates of Insurance (COIs) to general contractors.
Billing, Invoicing & Proposal Support:
• Invoice completed work accurately and ensure timely client payment.
• Monitor and track job costing for accurate financial reporting.
• Assist with generating proposals for new work and change orders.
• Ensure no unbilled work by tracking all service activities in Centerpoint Connect.
Required Qualifications
Experience:
• Minimum2 yearsof experience in a service coordinator, project administrator, or similar administrative role in commercial roofing, construction, or a related industry.
• Hands-on experience with project management or CRM software (e.g., Centerpoint Connect, FCS Roofing Software, or comparable systems).
• Proven ability to manage scheduling, work orders, and documentation in a fast-paced service or construction environment.
• Experience communicating directly with clients, vendors, and field teams, handling service requests and coordinating work.
• Familiarity with invoicing, permits, COIs, and safety documentation in a construction or service operations setting.
Education:
• High School Diploma or GED

• Project Coordination:Ability to schedule service technicians, manage work orders, and keep jobs moving without delays.
• Organization:Maintain accurate records for permits, warranties, safety documents, COIs, and client profiles.
• Time Management:Prioritize tasks effectively and handle multiple service requests and deadlines in a fast-paced environment.
• Communication:Clear, professional communication with clients, vendors, technicians, and internal teams.
• Technical Proficiency:Skilled in Centerpoint Connect, client portals (Service Channel, NetVendor, VendorCafé, Corrigo), and Microsoft Office.
• Attention to Detail:Ensure accuracy in documentation, invoicing, job costing, and compliance records.
• Problem-Solving:Proactively identify and resolve scheduling, billing, or documentation issues before they escalate.
• Independence & Initiative:Take ownership of tasks and work with minimal supervision while staying ahead of potential problems.
Licenses and Certifications:
• Valid driver’s license with an insurable record
Physical Requirements:
• Sitting for Extended Periods:Ability to work at a desk and use a computer for long periods.
• Light Physical Activity:Occasional standing, walking, bending, and lifting office supplies or files (up to 20 lbs).
• Hand Dexterity:Frequent use of hands for typing, document handling, and operating office equipment.
• Clear Vision & Hearing:Ability to read documents, work on a computer screen, and communicate effectively in person and via phone/email.

Desired Skills and Attributes
• Experience in Commercial Roofing:Familiarity with industry-specific processes, terminology, and best practices.
• Project management software:Experience with Centerpoint Connect or FCS Roofing Software
• Basic Accounting Knowledge:Understanding of job costing, budgeting, and financial reporting.
• Familiarity with Permitting & Regulatory Processes:Experience navigating local, state, and federal construction regulations.
• Bilingual English/Spanish
Work Environment, Location, and Schedule
• This position is based inLewisville, TX
• Core Hours:7:30 AM – 4:00 PM, Monday through Friday in the office.
• Oncall:The Service Coordinator is also responsible for responding to urgent client service requests via phone or email during evenings and weekends as needed. Urgent requests outside normal hours are handled remotely and typically limited to coordinating emergency service responses.
Compensation
• Base Salary:Competitive pay of $55,000 - $65,000 per year, depending on experience
