Your new role
In your new role you will be required to work independently and as team member, engaged in a wide range of tasks contributing to high quality and effective project delivery. Your main responsibilities will include;
- Ensuring that the project is executed in accordance with Ramboll’s Document Control (DC) guidelines and client specific requirements.
- Maintaining an efficient document flow and clear progress status.
- Establishing and updating master document registers (Status, progress, forecast).
- Maintaining logs of sent and received documents, including managing formal comments on documents.
- Combining large PDF files, submitting documents, incl. packages and native files to clients.
- Filing email communications, documents, including copies of vendor documents in the Data Management System (e.g., PIMS, Aconex, Sharepoint and ProjectWise)
- Handling documents for approval, checking and reviewing in workflows.
- Maintaining contact with client’s DCs, vendor’s DCs and project teams to ensure deliveries according to schedule.
- Providing ad hoc user assistance and training.
- Representing the Document Control team in the implementation of standardised DC working routines, including the use of our document management systems in relation to projects.

- Bachelor’s degree or equivalent in an Engineering or Consultancy based subject, or significant experience in a similar or related role in an engineering environment.
- Experience in handling various documentation systems within the engineering or energy sector for engineering, procurement, and construction projects (EPC/M).
- Competency in handling client, vendor, engineering, and project documents both incoming and outgoing, and familiarity with engineering project interfaces, tracking, reporting and follow-up.
- The ability to prioritise and manage multiple tasks in a timely and accurate manner with strong attention to detail.
- Advanced user knowledge of Microsoft Word, Excel and Adobe Acrobat Pro. (Experience with advanced macros programming will be a bonus).
- Experience in advanced project management software such as ProjectWise, Aconex, PIMS, SharePoint or similar is considered a plus.
- Strong teamwork ethic and versatility to adapt to challenging situations.
- Very good English and German skills.
