The Role

The NA Field Education Coordinator supports the AVP, Content & Education Strategy with a dotted line to the Director of Education. This role is the liaison between Field Education and the NYO. The ideal candidate will be experienced in handling a wide range of administrative and leadership support-related tasks and must be able to work with a team as well as independently with minimal to no supervision. This person must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting a large team of diverse people and programs. The ability to interact with staff (at all levels) in a fast-paced environment, often under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. Exceptionally strong communication skills, writing and editing skills, problem solving skills, sound judgement, confident decision-making, and attention to detail are equally important.

Role Accountabilities:

Field Support (50%)

People:

  • New Hires/Leavers
    • Owns ordering and shipping all new hire supplies for Field (luggage, kit stock, luggage organizer, business cards). Works with Sales Coordinator to procure any necessary information.
    • Owns booking and arrangement of payment for any Field travel if needed in advance of new hire receiving corporate credit card in partnership with Sales Coordinator
    • Alert Field Operations of new hire and provide address and contact information.
    • Alert Field Operations and Field Sales of team member leave or Education/Pro staffing change
  • HR
    • Assist People Team with ad hoc projects that pertain to Field (ie: recognition programs)
    • Maintain Education and Pro Product Closets
    • Submit Education updates to the Sales Coordinator for the monthly newsletter
  • Meetings/Calendar Management:
    • Schedule meetings on behalf of Director of Education and maintain recurrences
    • Send and maintain calendar invites for all key large-scale training dates, activities, events, NSOs, promotions, and due dates
    • Record and circulate meeting minutes for Edu and Pro led calls
  • Training and Event Support:
    • Chat Moderator
      • Sephora Virtual NSO Trainings
      • Charlotte Tilbury LiSA Live Virtual Events
    • LMS
      • Weekly % completion recaps to ATs and REMs
      • Manage addition and removal of team members to database.
      • Push modules to designated parties
      • Compile team feedback and share with Director of Field Education and Pro Artistry
    • Book in-store artist travel for regional and national training tours
    • Support the team in sourcing training facilities for regional and national training tours
    • Support Director in post-training recap deck

Education Content Creation, Editing, and Organization (25%):

  • Distribute formatted Education Pack Emails to Field upon receipt of content from Education Strategy
  • Assist with SharePoint organization and ensure that materials are up to date and in the proper folders.
  • Format, proofread, and edit PPT presentations and other training materials.
  • Create and manage an education calendar covering all

    training activity in the region including: SOAD, SS, Pro and Event dates, all NPD launch training deployment in all markets, certification due dates, etc.

  • Ensure Maintenance of NA Staffing sheet with Certification and Training Attendance updates
  • Gratis
    • Sending the gratis drop email
      • Finding and attaching the one pages and decks relevant to gratis training.
      • Including the "what, why, how" and retention questions content created by Director of Field Education and Pro Artistry
    • Liaison between Field and Operations, communicating delivery questions and concerns and approving the Gratis Survey

Budget Reconciliation (25%)

  • T&E and OPEX
    • Assist Director of Education and Pro with quarterly budget forecasting and actualization of all travel and expenses costs from the training team, managing and escalating risks and opportunities
      • Rollup of Seasonal School and Start of A Dream budget vs actual
      • Create/maintain Education and Pro T&E budget tracker
      • Timely updating of budgets within tracker
      • Report month and YTD T&E budget actuals vs plan
    • Freelance (Contracted Artist) or Models
      • Work with Pro Manager to understand who we leveraged at what pay rate each month
      • Ensure freelance artist or model agency submits invoice and/or is set up in APNA
      • Raise PO once validated
      • Update/maintain Freelance OPEX budget
      • Roll up and report freelance spend to Finance and Director of Field Education and Pro in monthly review
      • Identify charges to be reclassed to other budgets
      • Ensure freelancers and models are paid in a timely manner
    • Incentives
      • Share incentive information with Sales Coordinator, the incentive program owner, in timely manner
      • Send out updates, tracking, or reminders during the incentive period for Edu and Pro
      • Communicate incentive winners and payouts to Total Rewards Manager to ensure timely payment

Reporting Relationships: Reports to AVP, Content & Education Strategy

Requirements

Key Selection Criteria:

  • 2 years of experience providing direct administrative support to individuals and teams including calendar management experience
  • 2 years of experience managing budgets
  • 2 years of experience coordinating international and domestic travel logistics on behalf of management
  • 2 years of event planning experience
  • Highly skilled in Microsoft Office Suite
  • Highly skilled in Microsoft Excel, PowerPoint, and Word
  • Experience in copy writing or editing
  • Experience juggling multiple projects
  • Experience planning off-site events
  • Experience handling confidential information
  • Excellent attention to detail
  • Preferred experience in or passion for makeup and skincare
  • Must exhibit a can-do attitude and possess strong problem-solving skills

Benefits

Base Salary Range: $65,000.00 - $75,000.00**
