Job Title: Program Coordinator

Job Summary:

The Program Coordinator is responsible for organizing, scheduling, and facilitating various meetings, workshops, and internal activities within the organization. This role involves coordinating with team members, preparing materials, and ensuring all events run smoothly and effectively in coordination with the Program Managers. The program coordinator will play a key role in driving collaboration and communication across the organization to ensure the success of internal programs and the possibility of moving into a program management position. 

Key Responsibilities:

  • Meeting and Workshop Coordination:
  • Plan, schedule, and organize meetings, workshops, and other program-related events.
  • Prepare agendas, materials, and presentations for meetings and workshops.
  • Facilitate meetings, ensuring they stay on track and meet objectives.
  • Manage event logistics, including room setup, equipment, and participant communication.
  • Program Planning and Implementation - In coordination with the program Managers:
  • Assist Program Managers in developing program strategies, objectives, and work plans.
  • Coordinate tasks among team members to ensure timely execution of program activities.
  • Track progress on program deliverables and ensure adherence to schedules.
  • Internal Communication and Collaboration:
  • Serve as the central point of contact for program-related inquiries and communications within the Chennai location.
  • Coordinate communication between team members and ensure that information is shared effectively.
  • Document and distribute meeting minutes, action items, and follow-up tasks.
  • Evaluation and Reporting:
  • Collect feedback from participants to assess the effectiveness of meetings and workshops.
  • Prepare and share reports on the outcomes of events, highlighting successes and areas for improvement.
  • Contribute to the continuous improvement of programs by providing insights and recommendations.

Qualifications

  • 2+ years of experience in program coordination, event planning, or a related field.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in Google Suite and collaboration tools (e.g., Miro).
  • Ability to work collaboratively with diverse teams and stakeholders.
  • Strong facilitation skills and attention to detail.

Preferred Qualifications:

  • Program Methodologies (e.g., PMP, Six Sigma, Lean)
