Job Description

This role will serve as the executive assistant to several executive vice presidents (EVPs) who lead ITW’s operating segments along with members of their segment leadership teams. The successful candidate will have proven experience as a key administrative partner to an executive leader(s) with a demonstrated ability to develop collaborative relationships within the team and across the organization. This position requires strong written and verbal communication skills, service-orientation, strong initiative, analytical thinking and skills, attention to detail and solid organizational skills.

Primary Responsibilities:

  • Support segment EVPs and segment leadership in all related administrative tasks, and the business operating leadership events including bi-weekly, monthly, and quarterly staff and segment meetings, etc.
  • Produce correspondence, presentations, meeting agendas, and emails. Handle highly confidential and sensitive information.
  • Effective and efficient partnership with the EVPs in multi-faceting meeting/conference coordination & planning.
  • Manage multiple complex calendars, including scheduling in-person and virtual meetings.
  • Coordinate travel domestic and international arrangements.
  • Process monthly executive expense reports via Concur.
  • Accountable for other assignments/projects as needed.
  • Establish and maintain files/file systems.
  • Work in cooperation and collaboration with other colleagues, occasionally helping with work overload and covering during absences.
  • Manage segment’s sports ticket assignments for customer outings/events (Bears, Bulls, Blackhawks & Cubs).
  • Other duties assigned by manager.

Qualifications

  • 10+ years of experience in supporting senior level leaders in a mid to large sized organization. 
  • Experience in a corporate environment.
  • Proven ability to multitask and prioritize effectively.
  • Highly proficient in using office software (e.g., Microsoft Office Suite, SharePoint, Concur).
  • Experience handling highly sensitive information with integrity and maintaining a high level of confidentiality and professionalism.
  • Strong problem-solving skills and thorough attention to detail.
  • Ability to be proactive and work independently and as part of a team in a fast-paced environment.
  • Demonstrate a sense of urgency and ability to prioritize, working within tight timelines, and strong time management skills.
  • Experience in coordinating both domestic and international travel; Concur experience a plus.
  • Meet deadlines promptly as instructed.
  • Ability to be onsite at the Glenview corporate campus 5 days/week with flexible hours.
