ROLE OVERVIEW  

LifeStance Health is currently searching for an experienced Executive Assistant to support the C-Suite and serve as Office Manager for our Scottsdale headquarters. As EA and Office Manager, you will be primary support for the Chief Executive Officer and key leaders onsite including the Chief Financial Officer and Chief People Officer, in addition to liaising with the Board of Directors and overseeing general office management. As LifeStance is establishing our HQ location in Scottsdale, this is an exciting opportunity to join a large organization that continues to be in “build and grow” mode. We are looking for a candidate with exceptional organization, project management and communication skills.  

 

COMPENSATION: $70,000 - $95,000/annually

LOCATION: This position will need to be located within commuting distance of our headquarter offices in Scottsdale, AZ. 

RESPONSIBILITIES 

  • Provide direct support to the executive suite with primary coverage for the CFO, CFO, CPO including administrative support, calendaring, travel, and other requests as needed. 

  • Act as the Board of Directors administrative support; schedule Board meetings and organize logistics ranging from presentation materials to event planning (scheduling, catering, etc).  

  • Organize executive team meetings and retreats. 

  • Own the calendaring of the company’s CEO-level business management system (BOD meetings, executive staff meetings, senior leadership meetings, normal quarterly and annual running the business cadence. 

  • Work with Investor Relations team to set investor calls, earnings and non-deal roadshow logistics. 

  • Maintain office efficiency by maintaining appearance of common areas, visitor protocols and other organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment; identify vendors or partners as needed for daily operation. 

  • Maintain office facilities and equipment by assisting with procurement and routine maintenance and upkeep. 

  • Working with the People team, plan space allocations, layouts, and floor moves as required, arranging for and supervising building maintenance. 

  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time 

 

REQUIREMENTS 

  • 5+ years’ experience in an Executive Assistant/senior administrative role 

  • Must have exceptional attention to detail and be a customer service maniac 

  • Public company experience; understands the cadence of quarterly earnings calls and Board procedures in a public company setting 

  • Prior experience with supporting CEO and other C-level executives 

  • Experience with private jet travel and familiar with FBO logistics 

  • Excellent communication and organizational skills; a highly professional multi-tasker 

  • Ability to collaborate in a team environment; someone who loves to solve new problems and make an impact 

  • Strong sense of confidentiality and trustworthiness
