This is a Stanford Health Care job.

This position will be supporting our new COO, Rick Shumway.
A Brief Overview
Provides high-level administrative support to the Chief Operating Officer by conducting research, preparing statistical reports, handling information requests, and performing daily support functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff. Key to functioning effectively in this position is interacting with executives, physicians, and department and medical practice leaders of Stanford Health Care.

What you will do

  • Provides confidential administrative and personal support to the Chief Operating Officer. Facilitates cooperation and communication with all necessary internal and external parties, acting as a positive liaison for communications between COO and other partners.

  • Schedules and organizes complex activities such as meetings, travel, conferences and department activities for the COO and others in the department as required.

  • Undertakes paper, internet and face-to-face research for the COO on a range of topics for reports, correspondence, talks, and presentations required. Presents findings – facts, figures and images – to the COO to be incorporated into projects and work deliverables as required.

  • Prepares key reports and updates, and provides support on important projects as needed.

  • Manages the Administrative Policy Manual process.

  • Plans on-site and off-site meetings and events, and manages the office in absence of the COO.

  • Manages changing priorities and frequent interruptions with a sense of urgency and high level of accuracy. Composes, proofreads and edits correspondence, materials and reports.

  • Handles a wide variety of complex, and sometime conflicting, situations.

  • Carries out significantly large, important, or complex assignments; exercises judgment and prudence in financial matters.

  • Settles matters independently or consults with COO as prudent.

  • Prepares routine, confidential and special correspondence on all matters dealt with by senior executives of large organizations.

  • Works with others, including individuals and teams, committees, or task forces dealing with high level objectives.

  • Uses creativity and accepts wide latitude of operating requirements. Relies on experience and judgment to plan and accomplish goals.


Education Qualifications

  • High school diploma or GED; preferred candidates will have completed some college study with success.


Experience Qualifications

  • Six years of administrative or support experience with good working and generally growing knowledge of Microsoft Office applications (i.e., Word, Excel, Power Point, Outlook).


Required Knowledge, Skills and Abilities

  • Effective oral and written communication skills.

  • Advanced computer application user skills, especially in scheduling and task management.

  • Basic knowledge of financial, operational, and human resource requirements of large organizations.

  • Able to handle multiple tasks with frequent interruptions, take initiative, work independently and have good organizational skills.

  • Able to establish and maintain priorities.

  • Able to work with confidential matters and material discretely.

  • Able to work on assignments which require considerable judgment and initiative.

  • Able to resolve, or refer to mediation on own initiative, conflicts between senior individuals.

Base Pay Scale: Generally starting at $46.85 - $60.90 per hour

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
