Job Duties:

The Finance Support Specialist will be responsible for managing and supporting the set-up, processing, and invoicing of Jobs and Work Orders. Additionally, the Finance Support Specialist supports various other finance-related duties as outlined below.

  • Manage and support jobs in Jonas as it pertains to the following:
    • Ensure accurate job set-up
    • Set up of new customers when necessary
    • Monitor and manage the Notice to Proceed (NTP) approval process
    • Set up job estimates
    • Prepare invoicing and related documents
    • Support job costing process
    • Job closeout meeting preparation
  • Compile work orders for invoicing and posting.
  • Mail or electronically upload invoices for payment and related electronic submissions.
  • Manage Certificate of Insurance requests for sales customers.
  • Assist in the application of bid proposals.
  • Provide backup support to other Finance staff members.
  • Support the month-end close processes.

Minimum Qualifications:

  • High school diploma or general education degree (GED) and 3-5 years of related experience and/or training; or equivalent combination of education and experience.
  • Intermediate skills within Microsoft Excel (V-Lookups, Pivot Tables, and filtering),
  • Previous ERP system experience preferred.
  • Ability to read, analyze, and interpret contracts, policies, documents, and regulations.
  • Ability to apply concepts of basic accounting.
  • Analytically focused with sharp critical thinking skills.
  • Strong written and verbal communication skills.
  • Ability to thrive in a fast-paced environment.
  • Strong attention to detail.
