The Role…

Event Coordinator role is responsible for assisting the Events Team with the administrative duties that support the execution of our scheduled events for 2025. As the Event Coordinator you will support the team by ensuring proper preparation of events is handled and coordinated leading up to an event through its completion. Tasks such as logistics, pre, post and on-site event support, budget management and invoicing, creative matrix and mgmt.

A successful Event Coordinator is well-organised, detail-oriented, passionate about events and creating community through shared experiences.

*This role will be freelance and you will be required to invoice us on a monthly basis*

Main Duties...

  • As the Event Coordinator you will be responsible for supporting the team with day to day operational and administrative duties, working on upcoming projects to ensure execution of the events.
  • Creating decks, event bibles and other documentation to support the event and post event reporting
  • Management and coordination of third party suppliers across pre & post-production and live events including logistics and invoicing.
  • Onsite support/management for event load in, live days and load out
  • Work closely with the rest of the Events team as a strong unit

 

What We Are Looking For...

  • At least 3 years of professional event and project management experience in a similar capacity
  • Ability to work with multiple teams & stakeholders both internal and external and on multiple projects
  • Strong time management and prioritisation skills
  • Ability to work autonomously, with support from the wider team, and to ‘manage up’
  • Maintain a positive attitude even through stressful situations; communicate in an open and friendly manner.
  • Collaborative and communicate well to provide direction and delegation to efficiently accomplish tasks at hand
  • An essential part of the job is being available on a flexible schedule and being willing to work outside “office hours”. For example, nights, weekends and holidays (as needed and when applicable).
  • Experienced with Outlook, Google documents & Excel
