Job Description
Primary Purpose:
Perform bookkeeping and accounting duties as it relates to the Business Services Division.
Qualifications:
Education/Certification:
β’ Bachelorβs degree in Business, Accounting or related field from an accredited university with at least 12 hours of accounting courses
Special Knowledge/Skills:
β’ Ability to type and keyboard by touch
β’ Ability to communicate effectively (verbal and written) using proper English grammar
β’ Ability to effectively utilize computers, operate calculators and other machines as required
β’ Ability to work with numbers in an accurate and rapid manner
β’ Ability to organize, prioritize and meet established deadlines
β’ Ability to maintain accurate and auditable records
Experience:
β’ Three years of bookkeeping training and/or experience in a business office
Major Responsibilities and Duties:
β’ Assist in the preparation of the Annual Financial Management Report (AFMR), Comprehensive Annual Financial Report (CAFR) and Annual Budget Report.
β’ Provide excellent customer service to all users regarding all business and accounting functions.
β’ Prepare monthly bank reconciliations for all cash accounts and AR Accounts.
β’ Assist in the preparation of the Business Services monthly financial board reports.
β’ Assist with the compilation of the annual financial audit.
β’ Perform data entry of budget amendments, as applicable.
β’ Perform budget account analysis as required by the Chief Accounting Officer and Assistant Superintendent for Business Services.
β’ Record transactions for assigned grants, federal programs or Internal Divisions as assigned.
β’ Prepare monthly journal entry transactions including facilities charges, tax revenues and indirect costs and other accounting transactions.
β’ Review the P-card Report and test for completeness.
β’ Maintain physical files of Business Services documents and records related to budgets and grants and budget amendments.
β’ Be familiar with and assist with duties assigned to other Business Services personnel when necessary.
β’ Prepare cash receipts for tax deposits and assist in the monthly reconciliation to the report provided by the Harris County tax assessor-collector.
β’ Assist in the posting of cash receipts to e-finance
β’ Upload invoices for all the Revenue Divisions
β’ Maintain confidentiality of information.
β’ Perform other duties as assigned
