This position will be hired into SAP Litmos, which will become an independent company under Francisco Partners in December 2022.

YOUR FUTURE ROLE

The Management Support Senior Specialist will be responsible for the daily operations and smooth running of the Litmos' executive's office, including active and autonomous administrative support for both the CEO, as well as members of the Executive Leadership Team, as needed.

Responsibilities include the following:
  • Maintaining and organizing appointments, managing inbox, reading and responding to correspondence independently or as agreed with executive
  • Strong judgment in prioritizing of manager's/customer's meetings and calls and managing set-up of global calls across multiple time zones. Ensure that all calls and e-mails are addressed, considering who it needs to be forwarded or delegated to, and with high-touch approach
  • Arranging business travel and expense tracking
  • Managing workflows and monitoring items like vacation requests, purchase orders, internal orders, distribution lists, inventory etc.
  • Monitoring budget: managing controlling and reporting activities on behalf of manager, e.g. creation, staffing and reporting on internal orders, reporting on cost centers and profit centers, creation and maintenance of C-Users
  • Updating materials including PowerPoint and Excel spreadsheets for meetings and presentations
  • Coordinating and supporting events for the company and/or departments as a whole
  • Supporting internal employee communications as needed, including All Hands meeting support or other communications channels


YOUR PROFILE

We are looking for an individual with strong organizational skills and business acumen
  • Passionate about the Litmos product and business model
  • Minimum 5-8 years of professional experience in similar position or area on ET/SET or GET Level
  • Proven experience working in a fully confidential environment
  • Excellent organizational skills and an ability to keep track of tasks, responsibilities, and deadlines
  • Ability to work independently with multiple and complex tasks with strong prioritization ability included
  • Ability to work in a virtual and international and global environment - demonstrate flexibility to adapt and lead the change
  • Passion, the ability to work under pressure, a high level of initiative, dedication to taking responsibility and ensuring quality are essential
  • Way of working is very structured, self-directed and organized
  • Solid know how of MS Office products Outlook, Word and Power Point
  • Profound communication skills (written and verbal) to senior leader
