The Office Services Coordinator acts as an ambassador for Argo Group by cultivating an inviting environment for internal and external visitors to the San Antonio office, as well as potential clients and customers reaching out by phone. The Office Services Coordinator drives culture by delivering exceptional customer service assistance and performing in accordance with our company values while providing support to the Office Services Manager for building management and vendor relationships.


Responsibilities:

  • Must be able to work onsite Monday through Friday from 8:00am – 5:00pm Central Time. 

  • Support the Office Services Manager with U.S. office projects and helps oversee the day-to-day operations in the San Antonio office.

  • Monitor and coordinates overall office support services including reception, office and break room supplies, and mailing operation.

  • Assist in tracking and completing service requests for all US office locations.

  • Maintain support of the conference room calendar and ensure that conference rooms are equipped with facilities and technology resources as requested by internal customers. 

  • Coordinate with building management and outside vendors to address any necessary maintenance or repairs of our office space or equipment. 

  • Work with business unit leaders to identify employee needs to create an effective and efficient environment that reflects the ever-evolving flexible workplace (remote, hybrid & in-office).

  • Maintain relationships and coordinate work with contractors, suppliers, and property managers.

  • Participate in department initiatives to evaluate and improve national vendor relationships. 

  • Assist with controlling costs associated with maintaining the facility, equipment, and furnishings.

  • Assist with employee needs around personal and business storage, including managing locker assignments. 

  • Support and maintains the office Business Continuity Plan and Safety Committee in cooperation with business unit leaders.

  • Provide additional support in managing the corporate switchboard by fielding general business inquiries and route calls accordingly. 

  • Support IT in provisioning and De-Provisioning equipment and serving as a liaison to end users and the IT department when IT tickets need to be resolved as well as aiding in troubleshooting IT issues as needed.

  • Assist with after-hour vendor visits, as needed.

  • Other duties as assigned.


Qualifications:

  • High school diploma or GED.

  • Three (3) or more years of direct and/or related facilities or office services experience.

  • One (1) or more years of experience in a multi-line phone/console system preferred.

  • Working knowledge of MS Word, MS Excel, and MS Outlook.

  • Experienced in greeting and supporting guests, as well as employees, using proper etiquette and professionalism.  

  • Team spirit, enthusiasm, and ability to cooperate with others to accomplish goals.

  • Keyboard skills, minimum 40 wpm.

  • Strong verbal skills for enunciation and clarity in speech and written communications.

  • Multitasking and prioritizing.

  • Dependability.

  • Ability to work under pressure.

  • Attention to detail.


Travel: Up to 15% travel to US offices may be required
