The Opportunity
Cvent Management:
- Collaborate with the strategic lead to make tactical decisions about maximizing Cvent for the money paid.
- Use Cvent to create reports and oversee the custom Cvent reporting process, ensuring all reporting needs are met to drive decision making and efficiency recommendations.
Budget Data Management:
- Develop and own a process to ensure all Cvent data is current and complete.
- Implement a quality control process to validate the accuracy of budget data.
3rd Party Logistics Company Management:
- Support initial development of and own on-going management and maintenance of Service Level Agreements (SLAs), Key Performance Indicators (KPIs), and Standard Operating Procedures (SOPs) for meeting execution.
- Ensure adherence to GNE policies by the third-party logistics companies.
- Ensure adherence to financial guidelines and cost-saving opportunities.
- Collaborate internally to manage overall Supplier Governance model for program suppliers
- Collaborate with the procurement team as applicable to negotiate contracts with selected meeting planning companies, ensuring favorable terms and conditions for Roche.
- Collaborate with the internal compliance team to ensure compliance to industry regulations, legal requirements and reporting related to meetings. Mitigate any potential risks or issues that may arise during the planning and execution stages.
- Stay up-to-date with industry trends, best practices, and emerging technologies related to meeting planning. Continuously identify opportunities to enhance efficiency, effectiveness, and attendee experience.
Attendee Registration Build and Management:
- Collaborate with Lead Agency partner to develop Standard Operating Procedures (SOPs) and Roles and Responsibilities (R&Rs) for attendee registration.
- Oversee the third party in managing the attendee registration process.
AV/Production:
- Manage the process for AV/production services, ensuring competitive pricing and fit for purpose solutions.
- Review and assess AV/production engagement process for cost containment.
Day-to-Day Operations and Escalation:
- Handle day-to-day operations and escalations related to Cvent, AV/production, third parties, and internal clients.
- Act as the point of contact for troubleshooting and resolving issues.
- Serve as the main point of contact for the meeting planning companies, ensuring effective communication, timely deliverables, and high-quality service.
Client CSAT Surveys and Feedback:
- Collaborate with internal stakeholders to use CSAT surveys to measure satisfaction levels.
- Utilize feedback to enhance customer experience and make necessary adjustments to operations.
- Evaluate the performance of meeting planning companies, identifying areas for improvement and implementing corrective actions as needed.
Program Cost Savings Reports:
- Prepare and submit program cost savings reports to track and communicate the cost-saving initiatives implemented.
Who you are:
- Bachelor's degree in Business Administration, Hospitality Management, a related field or equivalent experience.
- Certified Meeting Professional (CMP) designation
- 7+ years experience working for a third-party meeting planning company
- Proven experience in collaborating with and managing a team
- Proven experience in managing external partners
- Strong knowledge of Cvent and its capabilities.
- Excellent analytical and problem-solving skills.
- Ability to work under pressure and meet tight deadlines.
- Strong project management skills, with the ability to handle multiple projects simultaneously and meet deadlines.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with various stakeholders.
- Exceptional attention to detail and organizational skills.
- Knowledge of industry regulations and compliance requirements related to meetings and events.
Reporting Structure:
This position reports to the Business Services team within the Workforce Services organization.
Relocation benefits for this position are not available.
The expected salary range for this position based on the primary location of California is $84,700.00 - $157,300.00 USD Annual. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law. A discretionary annual bonus may be available based on individual and Company performance. This position also qualifies for the benefits detailed at the link provided below.
