Position Summary:

The Project Coordinator, Strategic Marketing manages key projects including budget and invoice tracking, invoice to budget reconciliation, accruals, SOW tracking and ongoing special projects supporting a VP. The role will also provide budgetary and project management support to the entire Strategic Marketing team, a group of fifty individuals, including the three Consumer Marketing teams, Marketing Excellence, Media, Market Research and the six functions of Digital Marketing solutions (HCP Digital Marketing, Digital Field Enablement, Digital Marketing Solutions, Patient Engagement, Horizon Design and International digital marketing). Lastly, this role will provide administrative support with a focus on meeting coordination, calendar management, travel booking for over ten Directors (in addition to the VP). This role requires independent judgment, strong initiative, and the ability to effectively prioritize and handle a diversified workload and complex project design, development and execution.

Responsibilities:
  • Supports and drives to completion priority projects initiated across all Strategic Marketing functions. Ensures positive results by developing, managing, tracking and communicating timelines, needed resources, schedules, and budgets.
  • Effectively creates, compiles and manages budget related reports/information. Includes ongoing invoice tracking, coding and reconciliation to budget for a large budget (over $200M) with a significant amount of monthly invoices across over 100 vendors. Also includes reconciling invoices across multiple reports (ie the invoice tracker and transaction report), tracking partner monthly accruals and developing a draft accruals statement each month.
  • Implements the submission and tracking of many timely SOWs (over 200) across multiple partners and teams for the entire Strategic Marketing team.
  • Plans and coordinates on-and-off-site meetings, to include deploying appropriate resources, managing and securing attendance (both internally and with multiple agency partners and contacts).
  • Initiates new processes and modifies existing ones.
  • Manages and monitors the department's meeting and event supplies and coordinates with appropriate personnel for timely orders.
  • Assists in the administrative on-boarding of new personnel.
  • Performs a wide variety of administrative duties including, but not limited to, maintaining calendars, managing telephone calls, completing expense reports, booking domestic and international travel, as well as preparing routine correspondence.
  • Prepares and creates presentations accurately for multiple managers to effectively communicate information/data.
  • Effectively creates and compiles reports/information on department deliverables.
  • Makes timely arrangements for department meetings, video and conference calls to include booking rooms, arranging for meals, assuring AV and meeting supply needs are met and coordinating all meeting planning with appropriate internal and external parties (heavy lift during the Marketing Summit and Brand Planning.)
  • Assists in managing and monitoring the department office supply budget.


Qualifications and Skills Required:
  • Bachelor's or Associate degree, or proven experience in current role
  • Proven project management capability to organize, design, implement and execute corporate or stakeholder projects and events to meet company and department needs
  • Experience with budget tracking and/or reporting or other relevant capabilities strongly preferred
  • Professional, proactive demeanor
