Job Summary
This position provides support for various Retail Marketing programs with the primary responsibilities of managing the flow of projects and processes to ensure they are completed on time through our workflow system, Jira as well as administer the ad review process. Works closely with members of the retail marketing product, distribution and production teams to ensure that work flows efficiently through the department from the initial brief to the point where it is completed.
The Retail Project Coordinator position will be part of the Retail Operations organization reporting to the Director of Marketing Operations.
Duties and Responsibilities
- Provide planning, supervision and implementation for daily workflow on all marketing projects within the workflow system, Jira. Must have a strong understanding of business initiatives, sales and marketing goals and project workflow to work through projects and assign appropriate resources, prioritize projects and manage to deadlines
- Develops and manages schedules to ensure that projects efficiently move through different stages of process and are completed on time
- Attends all daily meetings with project team to ensure priorities and deadlines are clear as well as resources are assigned as appropriate
- Lead retail marketing specific project meetings to formally walk through any projects that need additional information
- Ensures the progress of projects through retail marketing are documented and schedules are adjusted accurately to deal with any delays or problems. Utilizes the department project tracking system to record and communicating the initiation of projects, elimination of projects or adjustments to deadlines as business needs change
- Manages incoming requests on behalf of retail marketing and opens projects in project management system
- Provide accurate, timely reporting on all projects to help assist with resource allocation; time tracking
- Responsible for training new marketing employees on the Jira system and processes
- Manage daily and quarterly expiration/discontinuation process for materials specific to retail marketing
- Administer the ad review process, record creation and submission process within the current system, Salesforce
- Define and document any processes relating to the ad review process as well as serve as the advocate for specific enhancements of the ad review system as it relates to retail marketing projects
- Serve as relationship owner and point person with external proofreader. Traffics and schedules all materials to be proofread. Upon comments coming back uses product knowledge to triage comments and give recommendations to project owner
- Maintain positive image of the company
- Assist in other duties/projects as necessary
Experience and Education Requirements
- Bachelor’s degree in marketing or related degree
- Equivalent work experience in marketing or marketing system administration considered in lieu of a degree
- 1-3 years of experience in marketing
- Experience working in financial services or insurance a plus
Knowledge, Skills & Abilities
- Strong verbal and written communication skills
- Advanced knowledge of Jira, Confluence and/or Salesforce
- Must work in a collaborative environment and take direction from a number of individuals at the same time based on project demand
- Must be detail-oriented with proficient organizational skills
- Strong administrative skills
- Strong skills in Microsoft Office and Acrobat
- Ability to quickly adapt to change
- Insurance or financial institutions industry experience is strongly preferred
- Demonstrated management and leadership aptitude, including prerequisite communication skills (verbal, written and presentation)
- Aptitude to lead in a fast-paced production environment while addressing multiple projects and responsibilities at one time
