Position Summary - The Salesforce Administrator will lead the ongoing development of Salesforce. The successful candidate will have a record of success in improving processes and adoption of the Salesforce platform. The administrator will work closely with functional leaders, organizational units, and subject matter experts to identify, develop, and deploy new business processes, including: Sales, Marketing, Outreach, Dashboards, Campaigns and our core program business processes. This role is part technical project manager, part administrator, part developer, and part Salesforce analyst. The Salesforce Administrator will be responsible for executing the day-to-day configuration, support, maintenance, and improvement of our CRM platform.

Person Reports To - Senior Director of IT & Security

Essential Functions -

  • Serve as primary system administrator for the Salesforce.com environment
  • Provide technical support for all Salesforce related issues
  • Provide sales and financial data to NJII executives
  • Develop lead scoring, management, and reporting with marketing and effectively implement and maintain within external email marketing software
  • Manage and perform maintenance on the integration of Salesforce and any/all connected systems
  • Assist sales management to create processes in salesforce.com to help monitor activities, trends, sales and leads
  • Handle all basic administrative functions including user account maintenance, reports and dashboards, workflows, automation, and other routine tasks
  • Create new reporting capabilities and respond to ad hoc reporting requests as needed
  • Help users develop or fine-tune reports so they yield meaningful metrics
  • Troubleshoot email campaigns, workflows, approval cycles, or auto-responders that generate excessive bounced mails
  • Expand or refine sharing rules and access privileges so records can be properly viewed and manipulated (while keeping the "special records" locked or hidden altogether).
  • Run all APEX tests in the system to spot any new errors that may have crept in due to "harmless" changes in validation rules, triggers, or data "cleanup."
  • Complete regular sandbox refreshes, internal system audits, and prepare for upgrades
  • Provide one to one training sessions to end users, and grow the Salesforce.com skill set across the organization
  • Data governance of Salesforce solution
  • Create custom objects and fields when necessary
  • Update system road maps that summarize upgrades, new releases, and feature additions that are needed to achieve business goals
  • Coordinate the evaluation, scope, and completion of new development requests.
  • Work with NJII management team to establish suitable processes to support administrative, development, and change management activities
  • Provide weekly status reports on Salesforce Roadmap and project statuses
  • Work independently with members of the user community to define and document development requirements

Additional Requirements -

  • Maintain security including sharing rules and security levels
  • Design, create and maintain user roles, profiles and hierarchies
  • Monitor application storage usage and archive data as needed
  • Run the Reports report to identify reports that haven't been run in six months
  • Run and store the weekly snapshot (data export) of the system data and attachments, including all history tables. Keep the snapshots for at least 90 days (and preferably, for years)
  • Examine any new pick-list values that have been modified or added to any fields in the system, and using the Force.com IDE's Search function to identify the impact of those changes across all the Booleans, formulas, and APEX/JavaScript/VisualForce code in the system. Correct any elements that have been impacted
  • Create an archive of all the system's field history tables (typically spanning no more than 18 months) to ensure that you have an audit trail that goes beyond a year
  • Import data as appropriate
  • Manage duplicate records
  • Ensure data integrity by merging duplicate Leads, Contacts, and Accounts; performing mass uploads and updates of data as required; removing unnecessary fields and data
  • Create and maintain dashboards
  • Create and maintain reports including folder maintenance to improve sales efficiency
  • Develop complex, macro driven reports to summarize system information for Senior Management
  • Effectively act as the liaison between our users, vendors, and the application development teams

Prerequisite Qualifications -

  1. Education/Degree Required - Bachelor's or equivalent experience
  1. Years of Experience Required - At least 3 years of experience
  1. Knowledge/Skills Required Preferred Qualifications -
  • Training, Teaching, and/or Education experience preferred
  • Demonstrated ability to meet deadlines, handle and prioritize simultaneous requests, and manage laterally and upwards
  • Creative and analytical thinker with strong problem-solving skills and excellent business judgement and organizational skills
  • Must demonstrate exceptional verbal and written communication skills at all levels of the organization
  • Ability to critically evaluate information gathered from multiple sources, reconcile conflicts, decompose high-level information into details, abstract up from low-level information to a general understanding, and distinguish user requests from the underlying true needs
  • Ability to assess the impact of new requirements on Salesforce.com and all upstream and downstream applications, systems and processes
  • Excellent project management skills and a positive attitude
  • Strong Knowledge of Microsoft Office Suite
  • Advanced analysis, reporting, formatting, data manipulation and presentation
  • Preferred Qualifications -
  • Saleforce.com Admin (ADM201 and ADM211) certified
  • Sales Cloud, Service Cloud and Developer certifications preferred
  • Proven ability to design and implement new processes and facilitate user adoption.
  • Strong understanding of the platform, with the ability to build custom apps and objects, formula fields, workflows, custom views, and other content of intermediate complexity
  • Strong understanding of Salesforce.com best practices and functionality
  • Strong data management abilities
  • A documented history of successfully driving projects to completion
  • A demonstrated ability to understand and articulate complex requirements
  • Conducts oneself at all times in an ambassadorial, committed and personable manner demonstrating respect for the position, fellow colleagues, departmental integrity and NJII's best interests
  • Ability to succeed managing multiple projects and priorities with tight deadlines
  • Willingly cooperates and works collaboratively with all staff, clients, and cross-functional teams to accomplish goals.
