Job Overview
We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to our Marketing, Medical, and Clinical departments. The successful candidate will play a crucial role in ensuring efficient operations by managing calendars, coordinating events, handling expense reports, and assisting with presentation creation.
Job Responsibilities and Essential Duties
- Event Support:
- Assist in planning and executing events, including scheduling, creating invitations, and liaising with vendors.
- Manage contracts with event vendors and ensure compliance with company policies.
- Travel Arrangements:
- Coordinate travel arrangements (primarily domestic) for department members, including booking flights, hotels, and transportation.
- Provide detailed itineraries and travel-related information.
- Calendar Management:
- Schedule and coordinate appointments, meetings, and events for executives within the Marketing, Medical, and Clinical departments.
- Ensure timely reminders and follow-up on upcoming commitments.
- Expense Reports:
- Process and track expense reports for team members, ensuring accuracy and adherence to company policies.
- Reconcile receipts, credit card statements, and other related documentation.
- Presentation Creation:
- Collaborate with team members to create professional and visually appealing presentations.
- Compile and organize data, graphics, and content for use in presentations.
- Communication Liaison:
- Serve as a point of contact for internal and external communications related to the Marketing, Medical, and Clinical departments.
- Screen and direct inquiries to the appropriate parties.
- Document Management:
- Organize and maintain electronic and physical files, ensuring easy retrieval of information.
- Assist in the development and maintenance of departmental documentation.
- General Administrative Support:
- Additional administrative tasks such as responding to emails, managing office supplies, and notetaking during meetings.
- Collaborate with cross-functional teams to ensure smooth workflow and communication.
Minimum Requirements
- 8+ years of experience in an administrative or operations role in a regulated environment
Required Knowledge, Skills and Abilities
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Skilled at event planning and booking travel
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Detail-oriented and capable of multitasking in a fast-paced environment.
- This is a largely remote position, and ideally can come to the Manchester, NH office 1-2x/month to support board and other critical onsite meetings.
- Must be able to travel nationally to support large events, up to once a month.
