Job Description
TITLE: Senior Operations Administrator
LOCATION: Indianapolis Plant
REPORTS TO: Plant Manager
The Senior Operations Administrator will provide high level administrative support for one or more of the organization's leaders, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the organization's operations, procedures, and people.
Core Responsibilities:
- Represent the company in a professional manner to customers, visitors, and other employees of the organization
- Provide diversified assistance and support to the Indy staff. Organize and expedite flow of work through manager's offices, initiate follow-up actions, make travel and meeting/lunch arrangements, maintain manager's calendars, schedule and cancel appointments.
- Compose, prepare for approval and distribute a variety of plant communications. Route and/or respond to correspondence and requests not requiring manager's attention.
- Develop and prepare daily, weekly, monthly and quarterly reports summarizing production information as well as updating master data files as required in support of the Indy Plant Manager.
- Responsible for cost control and administration of certain outside plant related services such as vending machines, catering companies, and contractors associated with projects assigned.
- Coordinate with electricians, systems groups, maintenance groups and cleaners regarding office needs and appropriate maintenance activities.
- Collaborate with the training team to deliver new hire orientation presentation and assist with activities. Work with onboarding team in preparing materials/schedules to ensure an efficient employee onboarding experience. May step in as the new hire contact liaison.
- Responsible for office supplies inventory and ordering as needed.
- Coordinate meetings and plant tours for visitors, customers and senior leadership as requested.
- Maintain contact information for restaurants and approved hotels. Coordinate lodging for visitors as requested.
- Plan and execute events on and offsite for employees, contractors, visitors, and senior leadership as needed and requested.
- Active participant in developing a culture of enabling and empowering all colleagues to contribute to the fullest and lead the plant to succeed
Desired Skills & Behaviors:
- High School diploma or Associate degree preferred.
- Experience coordinating large scale events preferred.
- Experience dealing with senior managers and executives both inside and outside of the company.
- High proficiency in Word, Excel, Outlook, PowerPoint, Visio, and Power BI a plus with a willingness to expand level of skill with software and electronic equipment to improve the productivity of the department and supported managers.
- Experience handling administrative duties independently with the authority to act on behalf of managers where appropriate.
- Strong verbal and written communication skills. Must possess proficient proofreading and editing skills.
- Ability to coordinate multiple projects/assignments simultaneously and complete assigned tasks accurately and on a timely basis.
- Experience handling confidential information and a familiarity with methods and approaches to maintain confidentiality.
- Strong project management and problem-solving skills.
