About the Role

We are searching for an experienced Payroll Specialist to join our team. This individual will report directly to the Senior Director of Finance and be the main point of contact for all payroll-related functions. They will be responsible for processing our company payroll, preparing all payroll-related reconciliations and entries into our general ledger, assisting with the onboarding/offboarding process for our employees, and preparing ad-hoc notices and reporting for our employees with various third parties. 


Our office is based in New York City in the Flatiron district, but we support a hybrid model where you can either work at our office or from home. We cannot consider candidates outside of the United States at this time.

What You'll Do

  • Process and record payroll for our multi-state, bi-weekly exempt and weekly non-exempt employees
  • Preparing month-end analyses for payroll, including benefits and payroll taxes
  • Assisting with onboarding/termination of our employees
  • Managing insurance-related claims and notices with third-parties, including workers compensation and case management follow-ups
  • Monitoring and completing OSHA and other agency filing requirements
  • Managing Ad hoc requests as they arise
  • Become a subject matter expert on Kaiyo’s payroll platform, Zenefits
  • Tracking of our states’ regulatory requirements in our compliance platform, Mosey
  • Explore third-party payroll platforms as Kaiyo’s needs evolve

Candidate Requirements

  • 3+ years of experience in Payroll, HR, or a related field
  • Highly proficient with Microsoft Office; specifically Excel
  • Regulatory compliance knowledge of CA, NY, NJ, PA, and MD is a plus, but not required
  • Strong verbal, written, and organizational skills
  • Ability to communicate between technical and non-technical users
  • Familiarity with Zenefits is a plus, but not required
