Position Summary

The Special Projects Manager is a dynamic and strategic role responsible for overseeing and executing unique and high-priority initiatives within the organization. This role involves collaborating cross-functionally to define project objectives, develop comprehensive plans, assess needed resources, and ensure timely and successful project delivery. The Special Projects Manager will analyze project feasibility, manage potential risks, and adapt strategies as needed to meet evolving challenges. With a keen eye for detail and a results-driven mindset, this role contributes to the organization's growth by managing projects that have a significant impact on its success.

Responsibilities:

1. Project Planning and Strategy:

  • Collaborate with key stakeholders to define the project's objectives, scope, deliverables, and success criteria.
  • Develop a comprehensive project plan, including timelines, milestones, and resource allocation.
  • Ensuring project goals and timelines are understood across multiple departments.

  • Identify and assess risks and develop contingency plans with efficiency.
  • Manage stakeholder expectations and communicate project updates, progress, risks, and issues.

2. Project Execution and Control:

  • Monitor and oversee the execution of multiple projects, ensuring adherence to timelines and budgets.

  • Monitor project progress, track key performance indicators (KPIs), and adjust plans as needed.
  • Anticipate and proactively address project risks, issues, and obstacles with a solutions-focused approach.
  • Conduct regular project status meetings with thorough agendas to track progress and manage project dependencies.
  • Ensure project goals and timelines are understood and met by all stakeholders.
  • Ensure project deliverables meet the required quality standards and specifications with a fine attention to detail.

3. Cross-functional Collaboration:

  • Facilitate effective communication and collaboration between participating teams, individual contributors, and/or external agencies or partners.
  • Ensure information flows smoothly and timely across different functional areas.
  • Liaise with stakeholders to maintain their engagement and support throughout the project.

4. Communication and Reporting:

  • Establish effective communication channels and processes within the project team and stakeholders.
  • Facilitate regular project meetings, providing updates, and capturing action items.
  • Prepare and deliver comprehensive project reports, executive summaries, and presentations.

  • Present project outcomes, lessons learned, and recommendations to senior management.
  • Provide clear and concise project documentation and ensure its accuracy and accessibility.

5. Process Improvement:

  • Work with cross-functional teams to analyze existing processes and develop streamlined approaches, as needed.

  • Implement lessons learned and best practices for future projects.
  • Stay updated with industry trends, project management methodologies, and tools.
  • Conduct project post-mortems to evaluate project success and identify areas for improvement.
  • Capture and analyze project lessons learned and incorporate them into future projects.

Qualifications and Skills:

  • Bachelor's or Master's degree in a relevant field (e.g., project management, business administration) or relative work experience.
  • Proven experience as a project manager, with a track record of successfully managing complex projects.
  • Analytical and problem-solving mindset.

  • Excellent organizational and time management abilities.
  • Exceptional communication and interpersonal skills, including stakeholder management.
  • Ability to work with cross-functional teams per project.
  • Project management qualifications such PMBOK, PMP, Agile, Six Sigma, a plus.

A reasonable estimate of the salary range for this position based on job experience, education level, global geographic region, etc: $85,000-$120,000
