Job Summary
The Travel Expense Administrator II provides support for the Travel and Expense Department. The incumbent has strong organizational and computer skills, excellent phone skills, and is required to multi-task.
Responsibilities
- Responsibilities include answering the telephone and assisting associates with travel, expense, and fleet issues in a timely manner.
- Creates spreadsheets in Excel and be able to manipulate data in pivot tables. Must be able to create presentations in PowerPoint.
- Reporting: runs routine daily, weekly and monthly reports, ie: past due reports
- Assists with profile updates as necessary ensuring profile completeness for optimum booking savings
- Assists and trains travelers on AFL's designated online booking system(s) in multiple time zones including book flights, accommodations, helping to arrange for visas or other documentation needed for international travel
- Assists travelers with expense reporting and reimbursement
- Develops strong internal working relationships with AFL Super Users
- Assists in maintaining Travel Internet page
- Assists in maintaining fleet vehicles - order, assignment and schedule for delivery, keep insurance records, registration, and accident history
- Maintains company "pool" vehicle program at AFL's headquarters - assign/schedule, keep internal record of vehicles' maintenance and utilization
- Assists in maintaining corporate credit card accounts by providing customer service internally to AFL associates and communicate to provider to resolve issues
- Assists in back-up switchboard operator and Visitor Center handling for the Executive department
- Handles other administrative tasks as requested

- Must be a quick learner with the ability to learn new software and processes
- Accurate and dependable work is essential
- Persuasive communicator with excellent interpersonal skills
- Ability to work independently
Qualifications
- Must be proficient with MS Office Products, especially excel
- Proven ability to problem solve
- Ability to analyze relevant metrics
- High attention to detail is required
Working Conditions
- The physical environment requires the employee to work indoors under climate-controlled conditions. Employee may on occasion be required to work overtime and periodically travel.
