JOB RESPONSIBILITIES:• Conducts periodic random site audits of DOT vehicles to ensure compliance with Federal, State and local rules and safety requirements, identifies any and/or all deficiencies and steps necessary to rectify. • Ensures Driver Qualification files are complete and updated as required by rules and regulations • Monitor all Driver related information, medical cards and driver license (expirations and renewals) utilizing the Encompass software system • Monitor operations to ensure that staff members comply with fleet policies and procedures. • Work with each market to ensure that fleet vehicles have the proper safety equipment, i.e., fire extinguishers, first aid kits, safety cones and vehicle accident packets. • Conduct new employee training sessions on vehicle assignment, i.e., fleet policy. • Promote fleet safety activities by attending company safety meetings with Quality and Safety management to assure fleet safety is completed. • Maintain database of asset details, vehicle identification, history, availability and all other pertinent information. • Assist with periodic vehicle inventory to maintain accuracy. • Track and record the location of vehicle and driver, vehicle transfers from driver to driver and market to market and temporary assignments of pool vehicles. • Collect and summarize data to provide fuel expenses, mileage, driver status, vehicle inventory and other reports as needed. • Maintain database of driver MVR's • Problem solving and research as it relates to fleet management. • Attends on-going training. • Ability to travel up to 40% of time • Other duties, as assigned.
PREFERRED REQUIREMENTS:• High school diploma or equivalent work experience• Strong knowledge of DOT legal & regulatory compliance • This position will require knowledge of fleet administration and DOT compliance and a thorough understanding of vehicle operation and maintenance criteria • Candidates must possess strong troubleshooting and problem solving skills specifically relating to vehicle issues • Must be organized, able to multi-task, and have a strong attention to detail • Position will require excellent communication skills with exposure to all levels of management. • Extensive knowledge of Excel and proficiency with other Microsoft Office software • Good overall computer skills - working knowledge of the Microsoft Office suite and SAP• Detail-oriented and possess the ability to organize and analyze data• Training experience - teaching and manual design• Communication skills, dealing with employees from varying backgrounds and skill levels
JOB DESCRIPTION:
The DOT Compliance Coordinator will be responsible for assessing, communicating risk to DistributionNOW resulting from non-compliance.
- Using the DNOW Fleet policy and the DOT policy as a guide, administer the fleet policy to the USA fleet consisting of vehicles, trailers, and forklifts.
- Assist location managers with enquiries as to their fleet inventory, repairs, and accidents by accessing Element's web portal, emailing our Element contacts, or calling Element.
- Work with the Fleet Manager to source and to arrange purchase of fleet trucks
- Assist with Managing DOT/Fleet duties
- DOT Invoicing for JJ Keller
- Maintenance of driver DQ files
- Work with the team to conduct Fleet/DOT training events
- Monitor vehicle Planned Maintenance and engine alerts
- Resolve assigned Onix Fleet help desk tickets
- Synchronizing the ARI, Verizon & Element databases
- Assist with Verizon database fleet inventory
- Citizens Bank inventory status upkeeping
- Gemini report upkeeping
- Assist in payroll lease deduction
- Assist in PUTB review - quarterly
- Assist with Work Day "Defensive driving" upkeeping
- Manage new DOT driver onboarding
JOB REQUIREMENTS:
- High school diploma or equivalent
- Clerical background in DOT environment preferred
- Verbal and written communication skills, both internal and external
- MS Office skills (Word, Excel, Access, and PowerPoint) is required.
- Self-starter and highly motivated team player
- Detail-oriented, organized, objective, consistent, and analytical
- Goal-oriented with the ability to multi-task under pressure in fast-paced work environment
- Follow established guidelines, policies and procedures
