Program/Project Coordinator Job Summary:
The Program/Project Coordinator is responsible for developing, scheduling, monitoring, and continuously improving the performance of the business area's capital project portfolio. This role manages the execution of external contracts, business plans, and budgets while ensuring alignment with company policies and controls. The manager will collaborate with project leaders and management to mitigate project/program/portfolio schedule conflicts and coordinate technical support. The role requires independent decision-making, judgment, and the ability to handle complex tasks and issues
Program/Project Coordinator Responsibilities:
β’ Develop and maintain comprehensive project, program, and portfolio schedules.
β’ Track, monitor, and recommend solutions for scheduled tasks and resource conflicts.
β’ Oversee and track project/program/portfolio performance to ensure objectives are met.
β’ Identify and implement improvements in existing processes to support effective project/program/portfolio management.
β’ Maintain and document processes for ongoing improvements and ensure compliance with internal controls.
β’ Lead divisional meetings to resolve critical project/program/portfolio issues.
β’ Assist in developing and delivering training programs related to project/program/portfolio management.
β’ Prepare administrative and technical reports to improve resource management efficiency and task completion.
β’ Define and implement roles and responsibilities for project/program/portfolio participants.
β’ Develop and present clear project/program/portfolio process guidelines to ensure alignment across teams.
β’ Collaborate with Project Leaders in managing project/program/portfolio schedules and timelines.
β’ Manage project and process improvement initiatives as assigned.
β’ Serve as the administrator for the Project Management (PM) Database.
β’ Report portfolio schedule progress, risks and make recommendations to mitigate project risks.
β’ Perform other duties and tasks as assigned.Minimum Qualifications:
β’ Bachelor's degree in Business Administration or a related field from an accredited university (or equivalent work experience in lieu of degree).
β’ Mid-level experience in office management or project coordination.
β’ Knowledge of SAP.
β’ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and scheduling software).
β’ Excellent oral and written communication skills.
β’ Must have a favorable driving record.Preferred Qualifications:
β’ Masterβs degree in Business Administration or related field.
β’ Proven Project Management experience.
β’ Strong skills in report accuracy, attention to detail, legal reading comprehension, active listening, and social perceptiveness.
β’ Excellent speaking and writing abilities.Work Environment:
β’ Indoor work setting, involving operation of a computer and phone, manual dexterity, and frequent talking, hearing, and repetitive motion.
β’ Use of personal computing equipment, multi-function printer, and calculator.
β’ Ability to travel to meetings, training sessions, or business-related events as required.Physical Demands:
β’ Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to move objects.
