The University Design Institute (UDI) partners with universities, higher education systems, philanthropic organizations and national governments to co-design new strategies for higher education. At Arizona State University (ASU), the Enterprise Design Practice builds design capacity, leads strategic engagements and manages leadership capacity building programs. We are s eeking a passionate, driven and agile Project Manager to join our dynamic team at UDI. This key role will lead the operational, logistics and event management efforts for leadership programs. These immersive, executive-level programs provide participants with the context, tools and deeper understanding needed to advance ASU. There are over 700 alumni across the programs. UDI’s signature leadership programs are:

Leadership Academy (LA)that provides a year-long program for ASU faculty and staff who are emerging as leaders in university activities. The program features three in-person, two-full-day workshops.
•
TheAdvanced Leadership Initiative (ALI)which is a 6-month immersive, high-level leadership program for executive leaders at ASU. The program includes three in-person, three-full-day workshops.
This role is also expected to support and coordinate ASU-Centric Leadership efforts that connect to other units at ASU. By joining UDI, you will have the unique opportunity to shape the future of higher education at ASU.
Essential Duties:
•
Be detail drivenwith the ability to oversee all aspects of program planning, from initial concept to final execution, ensuring timelines and budgets are met.
•
Navigate complexitywith the ability to keep multiple programs on track, closing and starting programs concurrently.
•
Build relationshipswith internal stakeholders, program alumni, cohort members, vendors, and others, ensuring their needs are met and partnerships are beneficial.
•
Proactively design and plan a world class experiencewhile developing long-term strategies to align program objectives with organizational goals and drive successful outcomes.
•
Have a fiscally responsible mindsetas they negotiate contracts and optimize resources to deliver high-quality events within financial constraints.
•
Communicate with excellent written and verbal skillswhen coordinating with internal stakeholders, cohort members, alumni, vendors, and delivering clear, persuasive presentations.
•
Be an adaptive problem solverwho can make quick and effective decisions to address and resolve unexpected challenges during the planning and execution phases of a program, with the ability to adapt to changing circumstances and requirements, often in fast-paced or high-pressure environments.
•
Initiation:proactively begins programs well in advance of delivery, captures and incorporates prior evaluations, cohort member goals, and aligns with program goals, as well as UDI and ASU goals and frameworks. Manage and navigate relationships with key stakeholders. Demonstrates a deep understanding of the program budget.
•
Planning:leverages past and present design expectations to ensure program components are delivered on time, by well-prepared contributors, within budget, and aligned with program goals. Prepares, maintains, and reports on program status reports and schedules; tracks milestones/deliverables, critical paths and dependencies; re-sets expectations as needed in consideration of program progress/outcomes.

Execution:develops and regularly updates project plans during delivery to reduce risks and achieve program objectives. On-site event management during program delivery. Successfully manages multiple programs in quick succession or concurrently.
•
Monitoring and control:establishes and continually monitors/manages program expectations, assigning tasks/resources, and identifying issues for resolution and course correction. Continuously monitors expenses and ensures effective budget management. Elevates issues to the director.
•
Closure:completes all program financial reconciliation and reporting activities at the end of program delivery. Ensures all information from after action review is documented and incorporated into future programs.
•
Communication:provide exceptional communication across the team and participants; responds to all inquiries regarding project status; prepares and responds to all reporting requests. Serves as primary communication point for internal and external constituents regarding status of projects and resource requirements as appropriate. Provides direction to others in meeting project timeline and deliverables. Proactively initiates discussions with internal / external constituents to avoid risks, ensure timeliness and accuracy of scheduled deliverables. Resolves day-to-day issues. Takes initiative to alert the client team to any potential challenges and risks.
Desired Qualifications:
•
At least one year of experience in project management
•
Preferred project management experience specific to the higher education sector.
•
Preferred 3+ years experience working on executive-level leadership programs and programming.
•
Experience running or working on conference-style programming.
•
Demonstrated ability to plan and prioritize multiple and competing tasks/projects effectively.
•
Demonstrated experience managing programmatic and/or delivery-based budgets.
•
Preferred experience with Airtable, Stova, Constant Contact, Workday, and Google and MS Office suite.
•
Experience working with university personnel with emphasis on executive or higher education audiences.
•
Experience working across multiple, concurrent programs and events.
•
Rich experience working in diverse delivery models (in-person, hybrid, zoom, etc.).
•
Experience navigating a variety of organizational cultures and structures across all levels of hierarchy.
Working Environment:
•
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%); Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (15%); Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts; Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.
