The Opportunity
We are seeking an experienced and detail-oriented Accounts Payable (AP) Accountant to join our Finance team. This role plays a critical part in ensuring the integrity and accuracy of the foundation’s financial operations, including supporting the accounting and reporting for our $11.8 billion endowment. The AP Accountant is responsible for processing grants and operating transactions, maintaining the general ledger, and supporting the monthly close process. What you will do
Grants, Accounts Payable, and Expense Reports
• Initiate grants, contributions and matching gifts payments through our in-house grants management system (Grant Central) integrated with Wells Fargo Bank.
• Update payment confirmations in Grant Central database and record transactions in accounting system (Sage Intacct).
• Review and process invoices in the Sage Intacct A/P accounting module and Wells Fargo Bank. The foundation is transitioning to a new A/P solution with Ramp, a third-party software, beginning in Q3 of 2025. This position is responsible for the implementation and fine-tuning of the new process.
• Research and resolve invoice discrepancies and ensure compliance with expense and disbursement policies.
• Review and process expense reports using Concur and ensure compliance with expense reimbursement policy.
• Responsible for preparation and completeness of annual Form 1099s and 1096.
• Participate in annual audit including preparation of audit schedules, analyses, and support.
General Ledger
• Perform monthly account reconciliations and prepare journal entries, as needed.
• Reconcile monthly grant information with Grants system.
• Responsible for month-end/quarter-end close.
• Maintain fixed assets schedules and calculate monthly depreciation.
• Review general ledger and perform monthly budget to variance analysis.
• Assist with quarterly board materials preparation.
• Participate in annual Budget and Forecast planning.
Other
• Prepare other federal and state filings/payments, including 1042, 592, sales and use tax returns, quarterly and annual Census surveys.
• Cash flow management, including calculating monthly cash draws and operating cash transfers
• Reconcile corporate credit card accounts, as needed.
• Ensure processes are cross-trained and backup colleagues, as requested.
• Collaborate with finance team to identify, implement, and document process improvements.
• Assist with evaluation and implementation of additional modules within Sage Intacct and other systems.
• Other Ad-hoc reports and special projects as assigned.
What you bring with you
Qualifications
• Bachelor’s degree in accounting, finance, or a related field. CPA strongly preferred.
• 3+ years of accounting experience, preferably in the financial services or nonprofit industry with large endowments.
• Knowledge of preparation of 1099, 1042, sales and use tax filings preferred.
• Systems experience with Sage Intacct, Concur, Ramp, Workday and Datarails (budget and reporting)
Competencies

• Strong computer skills, specifically advanced excel. Experience with Sage Intacct, Concur and grants management system preferred.

Compensation and Benefits
The Moore Foundation provides a generous total compensation package that includes a competitive salary and a wide range of benefits to support your life, health, and well-being.
The expected salary range for this position is between $95,000 and $115,000 per year. Our job titles and salary ranges may span more than one career level, and the salary offered to a candidate will be determined based on factors such as the scope and responsibilities of the position, job-related knowledge and skill set, depth of experience, certifications and/or degrees, and our practice of upholding salary equity within the foundation.

Work Arrangements/Location
This position is based at the foundation’s main office in Palo Alto, CA. Candidates must be based in or willing to relocate to the San Francisco Bay Area. Under the foundation’s residency policy and hybrid work arrangements, employees must reside within a reasonable driving distance of the foundation’s Palo Alto office and work onsite a minimum of four days a month, the weeks of May and November board meetings, and on periodic occasions throughout the year when foundation business needs require. A fully remote work option will not be considered for this role.
